Responsible AI in community settings

When the records are about your clients and neighbours, how the system is built matters as much as what it does.

People approve what affects people
Decisions about eligibility, safety or someone's service stay with staff. The agent prepares, sorts and drafts. A named person signs off.
Privacy and consent come first
Systems are designed around the privacy law that applies to you, such as PIPEDA, or Ontario's PHIPA for health information, and around the consent your clients actually gave. Personal details stay out of logs and test data, and data can be kept in Canada where that matters.
Every system is tested
Each one ships with a test suite built from your own past cases, so you can see how often it is right before it goes live, and after every change.
You own it, in plain language
The code, prompts, tests and documentation are yours, written so the next staff member can understand them.

Reporting in your funders' language

Impact measurement is where I started, so frameworks such as IRIS+, GRI and SASB are familiar ground, as are funders' own outcome templates. A reporting agent is only useful if it maps your work to those frameworks the way an evaluator would, and flags what doesn't fit instead of forcing it.

Outside the nonprofit sector, I built an agentic workflow for the QA team at a financial services provider that cut regression testing from two days to twenty minutes. The same discipline, tests first and people signing off, goes into every system.

Questions nonprofits ask

Is it safe to use AI with client data at a nonprofit?
It can be, if the system is designed for it. That means agreeing what data the agent can see, keeping personal details out of logs, storing data where your obligations require, and keeping a person in the loop for anything that affects a client. Those decisions are made with you before anything is built.
Can AI help with grant reporting?
Yes, and it's one of the most useful places to start. An agent can gather the figures and stories from your records, map them to a funder's framework and draft the report, with every number linked to its source. Staff review and edit before anything is sent.
Do we need technical staff to run it?
No. Systems are sized so a program or operations lead can own them after hand-over, with documentation written in plain language and ongoing support available.
How much does it cost?
